How do I create and manage credit packages?
About credit packages
With credit packages, you sell your customers several visits in advance. A customer buys a 5-session pack for your yoga offer, for example, and receives five credits in their account. With each later booking, one credit is deducted instead of paying again.
For your customers, this pays off because the package price is usually lower than the individual prices combined. For you, it means predictable revenue up front and stronger retention, since purchased credits want to be redeemed.
The feature is available to you if it's included in your current plan. By the way, cards already sold remain redeemable even if you switch to a smaller plan later. Your customers paid for them, so their balance stays intact.
Where to find your credit packages
You'll find the feature in your dashboard in the Credit packages section. This section has two subsections:
- Manage credit packages – here you create new cards and edit existing ones.
- Sold cards – here you see all cards actually sold, with their current balance.
The difference matters. A credit package under Manage credit packages is the template, meaning your offer in the shop. As soon as someone buys it, a separate card with its own balance is created, and you'll find that one under Sold cards.
Creating a new credit package
Click on + Create credit package. A form opens where you define all the details.
Credit package active
This checkbox controls whether the card can be purchased. If you disable it, the card disappears from your shop without you having to delete it. Cards already sold aren't affected and remain redeemable.
Credit package image
Here you upload an image that's displayed in the shop. JPG, PNG and WebP up to one megabyte are allowed. If you upload a new image later, it replaces the previous one.
Credit package name
The name is what your customers see in the shop, for example 5-session yoga pack. Choose it so that it's immediately clear what's on offer.
Credits
Here you define how many visits the card is worth. If you enter a 5, the card can be redeemed for five bookings.
Price
The sale price of the card in euros. It's usually below the sum of the individual prices, because this discount is exactly what makes the offer attractive to your customers.
Validity (days)
Here you determine how many days from purchase the card stays valid. If you enter 200, it expires 200 days after purchase. If you leave the field empty, the card is valid indefinitely.
Description
An optional text of up to 500 characters that explains your card in more detail in the shop.
Valid for services
In the Assignment column on the right, you define which services the card can be redeemed for. You can select one or several services. A card that's only valid for yoga can't be used for a different offer.
Important: Courses aren't available for selection here. Credit packages currently work exclusively for single sessions.
Categories
Here you assign the card to the categories under which it can be found and filtered in the shop.
Once everything fits, you save the card using the button at the end of the form. When editing an existing card, the button reads Update credit package.
How your customers buy and redeem credit packages
Two conditions apply at purchase. Credit packages can only be paid online, payment on site isn't possible when buying. And your customers need to be signed in to their account, because the balance is assigned to their account. A cart also contains either credit packages or bookings, but never both at the same time.
When booking later, your customers decide for themselves whether to use their balance. A checkbox appears at checkout for this, unchecked by default. Only when it's activated does Slotlify apply the balance. One credit is deducted per booked seat. If someone holds several valid cards, the one expiring soonest is always used first.
Two things are worth knowing here. Accessories are never paid with credits, always in money. And a coupon only applies to the part that's still open. If a booking is already fully covered by credits, no coupon code can be applied anymore.
In case of a cancellation, the return of credits follows your cancellation rules. If a customer cancels within the free cancellation window, the credits go back onto the card. If she cancels after that, they're forfeited, just as with a money payment. If you cancel yourself as the provider, the credits are always returned in full. No credits are returned to a card that has already expired.
Seven days before a card expires, Slotlify automatically notifies your customer by email. When the card expires, the remaining balance is set to zero.
Viewing sold cards
Under Sold cards, you see all cards that were actually purchased. The table shows you Credit package, Customer, Remaining / Nominal value, Valid until, Status and Action.
Using the two search fields, you can find a specific card or a specific customer. In addition, you can filter by Valid untiland by Status. With the View button, you define which columns are displayed.
If you open a credit package under Manage credit packages, you'll also see the Sales block below the form, showing the number of cards sold and the revenue generated from them.
Adjusting the remaining balance
Sometimes you want to adjust the balance of a sold card, for example as a goodwill gesture after a cancelled appointment. To do so, click on Adjust balance in the card's row.
In the window, enter the desired value in the New balance field. In the Reason field, you record why you're making the correction. This reason is stored in the card's history and remains traceable for you later. Then you save the change.
One point is important here: You always adjust only the remaining balance, never the nominal value of the card. The nominal value stays unchanged, because VAT was already paid on it at the time of sale. If you want to give someone additional credits beyond the original nominal value, it's better to issue a second card for that.
Good to know
When you edit a credit package, the changes only apply to future purchases. Cards already sold keep the terms that applied at the time of purchase. This covers the assigned services, the number of credits and the validity period. That way, nobody can feel disadvantaged after the fact.
If you delete a service that's assigned to a sold card, Slotlify points out beforehand how many cards and how many open credits would be affected. If you delete the service anyway, the affected cards can no longer be redeemed. The remaining balance is preserved, but your customers see a note asking them to contact you directly.
On invoicing: Since VAT is already charged when a credit package is sold, redeeming a credit isn't a further taxable event. A booking that was fully paid with credits therefore doesn't receive a separate invoice. Your customer gets the booking confirmation as their record. If part of the order was paid in money, an invoice is issued for exactly that part, with a note about the VAT already remitted through the credit package. For questions about the tax treatment in your case, please consult your tax advisor.
Please note that the tax handling described here follows German law, where VAT on a credit package is due at the point of sale rather than at redemption. The rules in your country may differ.
