Working with Bookings
Manage bookings in Slotlify
In the Bookings section, you can see an overview of all bookings that your customers have made in your tenant.
A tenant is your organization in Slotlify, for example your studio, club, practice, or training business. All bookings created through your public booking catalog are collected here and displayed in your dashboard.
This lets you check at any time:
- who booked
- which event or course was booked
- which service belongs to the booking
- what status the booking has
- which amount belongs to the booking
The Bookings section is therefore one of the most important areas for your daily management.
How to open the booking overview
To view your bookings, go to your dashboard and open:
Bookings
A table with all bookings created in your organization will open.
What is shown in the booking list
In the booking list, you can see the most important information for each booking directly in a table.
Typical columns are:
- Order #
- Event
- Service
- Status
- Amount
- Action
This gives you a quick overview without opening every booking individually.
Order
The Order # column shows the unique number of the booking or order.
This number helps you identify a booking clearly. This is especially useful when a customer has a question or when you want to find a specific booking later.
Event
In the Event column, you can see which event or course was booked.
This lets you immediately recognize which offer the booking belongs to.
Service
In the Service column, you can see the related service.
This is helpful if you offer several similar events or courses. It allows you to better distinguish which specific service was booked.
Status
In the Status column, you can see the current processing or payment status of the booking.
Examples:
In progress
Refunded
Paid
The status shows the current state of the booking.
For example, a booking may still be in progress if it has not been finally completed or has not yet been marked as paid.
If a payment has been returned, the status can be Refunded.
Amount
In the Amount column, you can see the total amount of the booking.
This lets you immediately see which revenue is connected to the booking.
Action
In the Action column, you find a menu for each individual booking.
When you click the action menu, a dropdown opens with the available options.
In the current version, there are two options:
Edit
Delete
Edit a booking
If you click Edit in the action menu, the booking detail view opens.
There you can see more detailed information about the selected booking.
The detail view is useful when you want to check:
- which booking number the booking has
- which customer or customer data is stored
- which email address was entered
- which address is stored
- which status is currently set
- which items or services were ordered
- which event, date, and time slot were booked
- which total amount belongs to the booking
Order and account information
In the upper section of the detail view, you will find the Order & Account Information.
This section shows the basic data of the booking.
This can include, for example:
- booking number
- status
- payment method
- customer
- address
This information helps you assign the booking to a specific person or order.
If a customer contacts you, you can quickly check which booking they mean using the booking number or email address.
Ordered items
In the Ordered Items section, you can see exactly what was booked.
This section can include information such as:
- product
- date
- time slot
- quantity
- price
Change the status of a booking
In the current version of Slotlify, you can mainly change the booking status in the detail view.
This is especially useful when customers do not pay online, but pay on site.
Example:
A customer books an event and selects payment on site. After the customer has paid in your studio, you can open the booking and adjust the status, for example to Paid.
This keeps your booking overview clean and helps you know later which bookings have already been completed.
Save changes
After changing the status, click:
Save changes
Only then will the change be applied.
If you want to leave the page without changing anything, click Back.
Delete a booking
The action menu also includes the option Delete.
You can use it to remove a booking.
Use this function carefully. A deleted booking may have been important for your internal overview, customer communication, or accounting.
If you only want to change the state of a booking, it is often better to adjust the status instead of deleting the booking.
Add a new booking
There is a Add new button in the top right corner.
In the current version of Slotlify, this function is not active yet. This means: you currently cannot create a new booking directly from the dashboard.
Bookings are currently created through the public booking catalog when your customers book an event or course there.
This is important to know, so you do not try to create manual bookings using this button.
Practical example: Mark payment on site as paid
A customer has booked a yoga class and pays directly in the studio.
Proceed as follows:
- Open the Bookings section in the dashboard.
- Find the matching booking in the list.
- Click Action in the booking row.
- Select Edit.
- Check the booking details.
- Change the status at the bottom, for example to Paid.
- Click Save changes.
The booking is now correctly updated in the system.
Important notes
The booking list shows all bookings that customers have made in your tenant. It is therefore your central overview for orders, participant places, and payments.
The Add new button is currently not active. In the current version, new bookings cannot be created manually in the dashboard.
When you open a booking, you can currently mainly change its status. More editing options may be added later.
Use the Delete option only intentionally. In many cases, it is better to adjust the status of a booking so that the booking remains traceable.
Summary
In the Bookings section, you manage all bookings created through your public Slotlify catalog.
You can see the booking number, event, service, status, and amount. Through the action menu, you can open a booking, check details, change the status, or delete a booking.
Changing the status is especially important when customers pay on site. This helps you keep your bookings up to date and maintain a clear overview of your reservations.
