Use your calendar in Slotlify

In the calendar, you can see your entire bookable schedule in a clear calendar view. Your events, courses, and vacation periods are displayed in one central place.

This helps you quickly understand what is planned on each day, which offers already have bookings, and when certain time periods are blocked.

The calendar is especially useful for your daily work because you do not have to search for every event or booking separately. You get a direct overview of your current and future schedule.

How to open the calendar

To open the calendar, go to your dashboard and select:

Calendar

The calendar view with your current schedule will open.

Depending on the active view, you can see your planning for a month, a week, or a single day.

What is shown in the calendar

The calendar shows different entries that are important for your planning.

These include:

  • one-time events
  • courses and course sessions
  • vacation periods or absences
  • already booked offers
  • offers that still have available capacity

This allows you to see at a glance what is taking place and how full individual offers already are.

Events in the calendar

An event is a single bookable appointment.

This can be, for example:

  • a yoga class
  • a tennis training session
  • a consultation
  • a workshop
  • a medical appointment

In the calendar, the event is displayed on the correct day and at the correct time.

For each event, you can also see how many places have already been booked and how many places are available in total.

Example:

Yoga training 0/10

This means: currently 0 of 10 places have been booked for this event.

If you see 6/10, this means: 6 places are already booked and 4 places are still available.

Courses in the calendar

Courses are also displayed in the calendar.

Because a course consists of several sessions, you see the individual course sessions in the calendar.

Example:

Yoga course #3 2/12

This means that this is a specific session within a course. At the same time, you can see how many places have already been booked and how many places are available in total.

This display helps you understand where a course currently stands and how many participants are already registered.

It is especially useful if you offer several courses in parallel, for example a morning course and an evening course.

Vacation periods and absences

If you have created vacations or absences in Slotlify, they are also shown in the calendar.

This lets you immediately see when your organization or specific staff members are not available.

This is important because these time periods affect which events and courses can be booked.

For example, if a trainer is on vacation, certain offers may be blocked. If the entire tenant is on vacation, your organization is unavailable during this period.

See booking status directly

One important advantage of the calendar is the quick overview of booking status.

For events and courses, you can directly see:

  • how many places have already been booked
  • how many places are available in total
  • which offers still have free capacity
  • which offers are already full or almost full

This information helps you with planning.

For example, you can quickly recognize whether a course is performing well, whether an event should still be promoted, or whether an offer is already fully booked.

Calendar views

The calendar has three different views:

Month
Week
Day

You can switch between these views depending on how detailed you want your planning to be.

Month view

The Month view gives you an overview of the entire month.

This view is useful if you want to plan ahead.

You can see, for example:

  • on which days events take place
  • when courses are running
  • when vacation periods are entered
  • which days are especially busy
  • which days still have little planned

The month view is especially useful for rough planning and for getting a quick overview of your workload.

Week view

The Week view shows one week in more detail.

This view is helpful if you want to organize your current working week.

You can better see how your events are distributed throughout the week and whether certain days are especially busy.

The week view is well suited for everyday operational planning.

Day view

The Day view shows a single day in detail.

This view is especially useful if you want to know exactly what is happening today or on a specific day.

You can see the individual events and courses more precisely and plan the daily schedule better.

The day view is useful for trainers, studios, practices, or course providers who want to go through their day step by step.

Quickly create an event from the calendar

You can also create a new event directly from the calendar.

When you click on a cell in the calendar, for example on a specific day, a window opens for quick event creation.

In the current version of Slotlify, you can use this method to create a simple one-time event.

This is useful if you quickly want to add an additional offer without first switching to the full event management area.

Example:

You see in the calendar that there is still free time on Friday. You can click directly on that day and quickly create an additional event.

Important limitation of quick creation

Quick creation from the calendar is currently intended for simple one-time events.

If you need a recurring event, a course, or more advanced settings, you should create the event or course in the corresponding dashboard area.

For recurring events, go to:

Events > + Add new

For courses, go to:

Courses > + Add new

This gives you access to all settings, such as recurrence, course planning, and further details.

Practical example: Check your month

You want to check how your month is planned.

Proceed as follows:

  1. Open Calendar in the dashboard.
  2. Select the Month view.
  3. Check on which days events and courses are planned.
  4. Pay attention to values such as 0/10, 5/12, or 10/10.
  5. Identify which offers still have available places.
  6. Check whether vacation periods or blocked days are displayed correctly.
  7. If you need an additional simple event, click the matching day and create it directly in the calendar.

This gives you a quick feeling for how well your offer is planned and booked.

Practical example: Daily planning for your studio

You want to see what is happening in your studio today.

Proceed as follows:

  1. Open Calendar.
  2. Switch to the Day view.
  3. View all events and courses for the selected day.
  4. Check the times and the current number of participants.
  5. Prepare your team or rooms accordingly.

This helps you organize your daily work more effectively.

Important notes

Check your calendar regularly, especially if you manage many events, courses, or staff members.

The calendar shows not only your planning, but also important information about capacity. The numbers shown for events and courses help you quickly understand how many places have already been booked.

If you have entered vacation periods or absences, check whether they are shown correctly in the calendar. This helps ensure that no unwanted bookings occur during blocked periods.

For simple additional events, you can use quick creation in the calendar. For courses, recurring events, or more detailed settings, you should use the full management areas.
