How do I manage my billing?


About the billing area

The billing area is the central place where you'll find all information about your plan, your usage and your invoices. Here you can see at a glance which plan you're currently using, how many bookings, services, staff and locations are included in your quota and how much of it has already been used. You can also switch plans, cancel your subscription and download all previous invoices as PDF here.

Particularly handy: the page brings everything financial together in one place, so you don't have to click through different menus for bookkeeping, tax advice or just a quick overview.

Where to find the billing area

You'll find the billing area in your dashboard under Account > Billing. The Manage billing settings page opens and is divided into four areas: your current plan with a usage overview, information about the next payment, your billing information and the invoice history.

Current plan

In the upper area you see your current plan with all important information at a glance. On the left is the name of your plan – for example Pro – with the Active status label, and directly below it the billing interval (monthly or yearly). On the far right you see the current price per month, excluding VAT.

In between you'll find four progress bars showing your usage in relation to the limit of your plan:

Bookings shows how many bookings have already been created in the current billing period. Services shows how many services you currently have in your catalog. Staff shows the number of employees you've created. Locations shows how many locations are active in your account.

As soon as a limit is 100% used up, the corresponding bar turns red. That means you can't create any more entries in this area until you upgrade your plan or – in the next billing period – your quota is reset.

Upgrading your plan

With the Upgrade plan button below the name of your current plan you switch to a higher plan. When upgrading you immediately receive the extended limits and additional features, if the new plan offers any. Billing is adjusted proportionally, so you won't pay twice for a full month.

Next payment

The Next payment section shows you the date on which your next invoice will be automatically charged. This way you always know when the next charge is coming.

Cancelling your subscription

Below the payment date you'll find the Cancel subscription button. When you click this button, your subscription ends at the end of the current billing period. That means: you can continue to use all features without restriction until the next payment date, after which your account will automatically switch to the free basic plan.

Your data will be retained – so you can reactivate your subscription at any time without starting from scratch.

Billing information

In the Billing information section you see the data that appears on your invoices: CompanyName and Address. These details are automatically taken from your company profile. So if you want to change something here, you don't do it in this section, but under Account > Company.

Make sure these details are correct and complete – they are part of every invoice that Slotlify issues for you and are needed for your own bookkeeping.

Invoice history

At the very bottom of the page you'll find the Invoice history – an overview of all previous invoices with four columns:

Date shows when the invoice was created. Invoice contains the invoice number as soon as the invoice has been finally issued. Amount shows the invoice total. Status shows whether the invoice has already been paid or is still in draft status. In the PDF column you can open and save completed invoices as a PDF file via the Download link.

Understanding invoice statuses

Draft means the invoice has already been prepared but has not yet been finally issued and charged. In this status there's no invoice number and no PDF available for download yet. As soon as the payment has been processed successfully, the status changes to Paid and the PDF becomes available.

Paid means the invoice has been fully issued and the amount has been successfully charged. From this moment on you can download the PDF of the invoice at any time – handy for your bookkeeping or forwarding to your tax advisor.

Good to know

Keep an eye on the progress bars, especially towards the end of your billing period. If you see that a limit is about to be reached, you can switch to a higher plan in good time without your daily work being interrupted.

Download your invoices regularly and archive them for your bookkeeping. In Germany, a retention obligation of up to ten years applies to business invoices – so it's worth saving the PDFs immediately after issue.
