How do I set up my company profile?
About your company profile
Your company profile is the central place where all the information about your business is stored in Slotlify. While your personal profile describes you as a user, this is about your business: name, address, logo, contact details, legal information and your online presence.
This data serves two important purposes: on the one hand, it helps you and your team stay on top of things in the dashboard. On the other hand, many of these details are displayed publicly in your online catalog and in the footer of your booking page – and thus form the business card of your company for your customers.
Where to find your company profile
You'll find your company profile in your dashboard under Account > Company. This opens the Company profile page, on which all business information is summarized in different sections. Each section can be adjusted individually via the Edit button, so you can update specific areas in a targeted way without having to edit all the data at once.
At the top right of the page you'll also find two handy shortcuts: View shop opens your public booking page in a new tab, so you can check at any time how your customers see your offering. With Add location you can create additional locations, provided your plan allows it.
Uploading your company logo
The logo is one of the first things you should add after registration. It appears not only in your dashboard for quicker orientation, but also in your public online catalog and on your booking page. A clearly visible logo ensures that your brand is recognized across all channels.
To upload it, click the small pencil icon at the edge of the logo placeholder and select an image file from your device. We recommend a square format in high quality so that the logo is displayed cleanly on all devices. Right next to the logo you'll also find the icons for your social media profiles, which can be set up further down the page.
Company information
In the Company information section you enter the basic details about your business. Via the Edit button you open a window in which you can fill in or update all fields at once.
Company name is the official name of your business as it appears on invoices and in public-facing displays.
Business area describes the industry you work in – for example Health, Sports, Beauty or Education. This helps the system categorize your offering correctly.
Type of activity is the most important field in this section. Here you should describe as precisely as possible what you offer, for example fitness studio, yoga studio, medical practice or dance school. The more specific this entry is, the more accurately Slotlify can calculate your marketing and revenue forecasts.
Company address
In the Your company address section you enter the official address of your business. This includes Street and house number, Postal code, City and Country. This data is used for legal information, invoices and – depending on the configuration – for display on your booking page.
If you have several locations, you don't set them up here, but via the Add location button at the top right. The address in this section always remains the headquarters of your company.
Financial information
Under Your financial information you enter your VAT ID (Value Added Tax Identification Number), if you have one. This number is required for correct invoicing and is mandatory in Germany for companies subject to VAT. If you work as a small business without a VAT ID, you can leave this field empty.
Social profiles
In the Your social profiles section you enter the links to your presences on Facebook, X, LinkedIn and Instagram. As soon as you add a link, the corresponding icon becomes active in the upper area of your profile and also appears on your public booking page. This way your customers can switch directly to your social media channels and follow you.
You don't have to fill in all four platforms – only enter the profiles you actively maintain. An outdated or inactive social account often looks less professional to visitors than none at all.
Company links – legally important
Slotlify is currently optimized for businesses operating in Germany. The legal requirements described below apply to German law.
The Company links section is particularly important if you run your business in Germany. Under German law, you are required to provide certain legal information on your publicly accessible business page. Slotlify automatically displays these links in the footer of your online catalog – as soon as you enter them here.
Terms and Conditions is the link to your General Terms and Conditions. They govern the contractual framework between you and your customers.
Privacy Policy is the link to your privacy policy. It is mandatory under GDPR as soon as you process personal data – which is the case with every booking process.
Imprint is the link to your imprint. In Germany, an imprint is legally required for commercially operated web presences (§ 5 DDG).
We strongly recommend that you provide all three links in full before you share your booking page publicly. Otherwise you risk legal warnings. If you don't yet have corresponding pages, you can create them on your own website and then link to them here.
Tax settings
In the Tax settings section you define how Slotlify handles VAT in your catalog. These settings directly affect how prices are displayed and how invoices are generated.
Note: This section describes tax rules under German law. If your business operates under a different jurisdiction, some of these settings may not apply to you.
Small business exemption (§ 19 UStG)
The Small business (Kleinunternehmer) checkbox lets you indicate whether the small business exemption under § 19 UStG of German tax law applies to your company. When enabled, no VAT is shown on your invoices. Only activate this option if the exemption genuinely applies to your business.
Price entry mode
The two options, Gross prices and Net prices, define how you enter your prices in the system. With gross prices, you enter prices including VAT; with net prices, you enter them excluding VAT. Based on this setting, Slotlify automatically calculates the correct prices for your catalog and your invoices.
Default tax rate
In the Default tax rate field, you select the tax rate that applies to your offerings by default. The available options are the tax rates you've previously created under Account > Tax settings.
If you haven't created a suitable tax rate yet, you can create one directly using the plus icon next to the selection field, without leaving this section.
Good to know
You can update all fields at any time by clicking Edit in the respective section. Changes are saved immediately and are directly visible on your booking page.
It's worth setting up your company profile fully right after registration: uploading the logo, entering the address, adding social profiles and, above all, providing the legal links. That way your presence is professional from the very start, legally sound and ready for your first bookings.
